Equipment and component tracking |
The system tracks each equipment unit from acquisition to disposition and beyond. Tracked transactional data related to a vehicle's use and costs includes life-cycle status, locations, department, operator assignments, availability, work orders, fueling, usage, motor pool use, assignment history, and whether the unit is active.
Equipment tracking features include:
Detailed descriptive data for all equipment units, including equipment type, serial number, model number/ID, manufacturer, purchase/lease dates, and location
Control of access to customer department’s equipment-related data and costs
Interactive work order entry, status, and tracking, with full details of all parts and labor charged to any task under a work order
Tracking of equipment downtime on repair and PM (preventive maintenance) work orders for both users and shop
Work delay tracking for analysis of operations and cost justification for additional facility resources
Real-time automated messaging between equipment users and shops to allow notification of changes in equipment status (such as unit OUT OF SERVICE, unit CLEARED FROM SHOP, unit NOT FOUND)
Complete repair and PM history data for the life of each unit, in both summary and detail formats
Flat labor rates by task as well as hourly labor rates by shop and employee
Warranty tracking by time and meter units, with identification of warranty vendor and deductible amount, for the equipment unit itself and any number of user-defined components and parts
Warranty claim and reimbursement tracking of work performed and covered by equipment warranties
Automated PM scheduling and monitoring for all units
Service-level agreements between fleet managers and fleet users (customers) concerning the number of equipment units to be available during different time intervals, with real-time tracking of actual performance against the service-level commitments
Equipment usage tracking, with support for rental billing to departments or agencies using equipment
Bar coding for the shop floor
Pool reservations booking, dispatch, return, and billing for multiple dispatch locations
