The Basic Info tab for motor-pool setup options enables you to specify how motor pool data is handled. You can also specify the structure of reservation IDs.
The Motor pool setup section lists the available motor-pool setup options.
Validate operator ID on reservations
If this field has a check, one or more valid operator IDs are required for each motor pool reservation. This option requires you to use the Data -> Equipment Units -> Setup -> Operators -> Primary Information screen to maintain up-to-date information about all equipment operators.
Permit reservations for date required prior to current date
If this field has a check, the date that a reservation is required and the date a unit is dispatched may be earlier than the current system date. When this option is activated, the dispatched meter may be less than the equipment unit's current meter reading, and the vehicle meter reading will not update when the dispatched meter is less than the current meter reading.
Note: If you place a check in this field, remember to remove it after you enter reservations for past dates. The system does not guarantee that the availability statistics for past days are correct.
Show units of associated pool vehicle types on units available lists
If this field has a check, the list of units available for dispatch on a reservation includes units in the requested pool vehicle type as well as alternate pool vehicle types that would be appropriate for the reservation.
Alternate pool vehicle types are specified on the Other Types tab of the Data -> Equipment Activity -> Motor Pool -> Setup -> Pool Vehicle Types screen.
Update motor pool dispatch location of equipment when unit is returned to a different location
If this field has a check, when you process an equipment unit's return on the Return tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen, the Return location ID field on that tab is checked against the Dispatch location field on the Status/Other Info tab. If they differ, the equipment unit's assigned motor pool dispatch location ID (see the Motor Pool tab of the Data -> Equipment Units -> Fleet Equipment screen) is changed to the return location ID and the equipment availability information at both locations is adjusted.
Default rate vehicle type to changed availability vehicle type
If this field has a check, the pool vehicle type for rental rates defaults to the pool vehicle type for availability.
Do not display driver license number on system-generated printouts
If this field has a check, the operator's driver license number will not display on any motor pool-related printouts. Applies to confirmation tickets and dispatch tickets.
Note: This option does not apply to reports generated by either the Queries/Reports -> Query/Report Generator screen or Web Modules Reporting. If your existing motor pool reports include driver license information and you would like to remove it, you must modify the reports directly.
Do not display operator ID on system-generated printouts
If this field has a check, the operator's ID will not display on any motor pool-related printouts. Applies to confirmation tickets and dispatch tickets. Other operator information, such as name, will display.
Check dispatch time against time required
If this field has a check, the reservation's dispatch time is checked against its required time. The Maximum number of minutes for early or late dispatch field determines the range of times that are acceptable.
Maximum number of minutes for early or late dispatch
Maximum number of minutes before or after the required dispatch time that a reservation will be dispatched (the dispatch cannot be on a different day). If there is a check in the Check dispatch time against time required field, this value is used to validate the dispatch time recorded.
Automatic numbering
Automatic numbering method used to create motor pool reservation IDs. This field has a choice list:
STANDARD: Default; generates reservation IDs that are a sequence of numbers
CUSTOM: Generates reservation IDs that use the structure specified in the Custom ID structure field
NONE: Reservation IDs are not generated automatically
Custom ID structure
If you specified CUSTOM in the Automatic numbering field, use this field to specify the structure of motor pool reservation IDs. Maximum field length is 30 characters, including static characters. The ID structure may include the following tags:
[YR]: Inserts the current year in the ID
[LOC]: Inserts the dispatch location ID in the ID
[SEQ:#]: Inserts a sequence number with the number of digits specified, padded with zeroes
Example: A custom ID structure of [YR]-[SEQ:7] would create the following reservation ID: 2009-0000001.
Note: Because motor pool reservation IDs changed from numeric to alpha-numeric in Release 6.2, the data sort on screens and in reports has also changed.
