Accounts (Departments) |
The Accounts tab enables you to specify separate default account IDs for departments or specify that one account ID supports all of a department's accounts.
The field in the top section of this tab defines the data that displays.
Department ID
Identifier of the department currently selected in the grid or that you are defining. This field has a list box. If the ID already exists, the department name displays to the right of the ID. There is no limit to the number of department IDs that can be defined for an organization.
Data in the fields in the bottom section of this tab specify the account IDs associated with a department.
The Basic Info tab on the Data -> Setup -> Organization Structure -> Accounts -> Primary Information screen specifies whether an account ID may be assigned to equipment units, departments, operators, parts issues, or purchase orders. The Edit Criteria - General tab on the Data -> Setup -> Options screen specifies whether account IDs are required, optional, or not required.
Supports all accounts
If this field has a check, the account ID supports all of the department's accounts.
The fields in the Account IDs associated with this department screen group specify the account IDs associated with a department.
Delete
To delete the entries in the fields to the right, place a check in this field and click Save.
Account ID
Identifier of the account. This field has a list box. This field is required. Must be a valid ID if the Account ID field on the Edit Criteria - General tab of the Data -> Setup -> Options screen specifies that account IDs are REQUIRED or OPTIONAL. (If the Account ID field specifies that account IDs are NOT REQUIRED, any account ID may be specified.)
Note: If there is a check in the Restrict account ID choicelist based on department supported accounts field on the Edit Criteria - General tab of the Data -> Setup -> Options screen, the account ID choicelist only lists the departments supported by the user's employee ID or operator ID. If the user has an employee ID and an operator ID, the list is based on the departments supported by the employee ID. If the employee ID or operator ID supports all departments, there are no restrictions on the account choice list. There also are no restrictions if the user has neither an employee nor an operator ID.
Account IDs are defined on the Data -> Setup -> Organization Structure -> Accounts -> Primary Information screen.
Account name
Name of the account. Display only from the Data -> Setup -> Organization Structure -> Accounts -> Primary Information screen. This field populates automatically when an account ID is specified.
