Basic Info (Timesheets)


The basic info of the timesheet. This includes information about the dates and status of the timesheets.

Detail View Header

The field in the top section of this tab defines the data that displays.

Timesheet ID

Identifier of the time sheet selected in the grid or that you are creating. You may not delete a timesheet ID used on a time card.

Detail View

Data in the fields in the bottom section of this tab provide additional information about the time sheet. Unless otherwise indicated, these fields are optional.

Employee ID

Identifier of the employee associated with the time sheet. This field has a list box. You may not delete an employee ID used on a time card or a time card line item.

Start date

First day of the employee's calendar work hours in MM/DD/YYYY format. It must be the current system date or earlier. The day of the week (for example, MONDAY) displays automatically in the field to the right when you enter a date. This field is required.

End date

Last day of the employee's calendar work hours in MM/DD/YYYY format. It must be the current system date or earlier. The day of the week (for example, MONDAY) displays automatically in the field to the right when you enter a date. This field is required.

Note:

If the Generate timesheet for pay periods from labor posting setting is enabled, the Start date and End date will be automatically generated when the Start date is enterd.

Status

Status of the time sheet. This field has a list box:

Although you may not update a time sheet with a CLOSED status, you may reopen a timesheet.

Comments

An open field to enter comments for the timesheet. This is an open field with a 180 character limit. This field is optional.

Employee approval

Check this box to enable employee approval. If this checkbox is checked, an employee user ID is required in the Approved by user ID field. When the approval checkbox is set to N, the Validation message and the Allow submit checkbox clear out. 

Supervisor approval

Check this box to enable supervisor approval. If this checkbox is checked, a supervisor user ID is required in the Approved by user ID field.

Approved by user ID

Click in the drop-down menu to choose the correct approver for the timesheet. There is a user ID field for each employee approval and supervisor approval. These fields have a limit of 50 characters.

Date and time

Date and time of the approval. This field populates based on the time the approval is entered. This can be changed to match the time of actual approval, it just cannot be a future time. This is a required field for employee or supervisor approvals if the Employee approval or Supervisor approval checkboxes are checked.

Notification template ID

This choicelist in this field allows the user to select from active and supported Notification templates. When this field is chosen, a Notification instance record will be generated. If a submitted timesheet has been saved with a notification template ID, then the approve and reject functions are only accessible to users who are in the approval chain. 

Notification status

This field indicates the current status of the Notification instance generated by the Notification template ID.

Validation message

This field notes whether or not a timesheet is valid. If changes are made to any of the fields in the Basic Info tab, this field will clear.

Allow submit

When a timesheet is completed and valid, this box can be checked. If changes are made to any of the fields in the Basic Info tab, this field will clear.
