Allocation and assignment ID
This field shows the identifier of the assignment.
Item type
The type of item for allocation and assignment. There are two default options for item type:
ASSET: Assets are usually items that require preventive maintenance, are of high value, or for which you need to be able to track depreciation. Assets can also have a department assigned to them, for items that may need tracking by department, whereas parts cannot.
PART: These are items that will most likely be purchased often or replaced frequently under the same part number (even with different serial numbers), or low-cost or low-value and disposable items.
Transfer
Check this box to mark the item as a transfer. If the Item type is ASSET for the transferred item, when the asset is marked as a Transfer, the following items are updated for that item.
The Motor pool dispatch location ID field on the Asset Primary Information screen, Motor Pool tab is updated to the new location where the item has been transferred.
The Issue Location field on the Allocation and Assignment screen, Basic Info tab is updated to the assigned location. This allows the subsequent updates to motorpool happen correctly.
The Motor pool Location ID on the Equipment Management - Assignment History screen, Class and Location info tab updates to match the new location. This update only occurs if the asset is set up to be updated with the Motor pool location ID checkbox on the Equipment Units - Setup - Options screen, Assignment History tab.
Finalized
When the status is set to Finalized on the Allocation and Assignment Status screen, this checkbox is checked. This is display only.
Assignment status
This is the status of your assignment. This is an open text field with a drop-down choice-list to choose a status already in the system.
Asset ID
The unique identifier of the asset that you assigned or will assign.
Asset serial number
This field is required when an Asset ID has been set, and must match the serial number associated with that Asset ID. This field will be generated when an Asset ID has been entered.
Part ID
The unique identifier of the part that you assigned or will assign. The details of the part ID entered will show below.
Part suffix
The suffix of the part.
Serial number
The serial number of the part for this assignment.
Quantity
The quantity of the part that is assigned. The quantity is only allowed to be greater than 1 when working with an item type of PARTS, and cannot be serialized parts as those are also only available in a quantity of 1.
Not from inventory
This means the assigned part is not being pulled from current inventory numbers. When this part is assigned and this option is checked, any inventory for this part in the system will not be affected.
Issue location
The location where the part is issued.
Date and time
Assignment start: The date the assignment started.
Assignment end: The date the assignment was terminated.
Expiration: The expected expiration date of the assigned item (if any).
Expected return: The expected date and return time for the assigned item.
Employee who recorded:
These fields show the employee identifier and description for the employee that recorded the assignment start and stop.
Assignment start: The employee who recorded the assignment's start.
Assignment end: The employee who recorded the assignment's end.
Assigned to
The identifier of the location, department, operator, or asset that the item is assigned to.
Asset: The asset identifier that the part or asset is assigned to.
Operator: The operator identifier that the asset or part is assigned to. This also updates the Assignment/WO field (account ID used for Assignment/WO), and Condition Rating field to match this record.
Location: The location identifier that the asset or part is assigned to. This also updates the Current field (location), Assignment/WO field (account ID used for Assignment/WO), and Condition Rating field to match this record.
Department: The department identifier that the asset or part is assigned to.
Asset ID
The unique identifier of the asset a part is assigned to.
Operator ID
The unique identifier of the operator an item is assigned to.
Location ID
The identifier of the location an item is assigned to. This is optional. Rack ID and Bin ID assignments are only allowed if an item is being assigned to a location. The locations available for rack and bin IDs are based on the location chosen for the assignment.
Assigned rack ID: The identifier of the rack an item is assigned to. This is an optional field. However, if a rack is assigned, a bin also has to be assigned.
Assigned bin ID: The identifier of the bin an item is assigned to. This is an optional field. However, if a rack is assigned, a bin must be assigned as well.
Account ID
The account that will be charged for the asset or part.
Condition Rating
The rating of the condition of the item. This is a choice list.
Related Allocation and assignment ID
This is the identifier of the related assignment record. This is a choice-list.
