The Options screen for usage setup enables you to display and control usage functions.
Usage tickets setup
Data in the bottom section of this tab define the setup for usage. Unless otherwise indicated, these fields are required.
Compute usage ticket hours automatically
If this field has a check, usage hour calculations are based on the beginning and ending dates and times on each usage ticket.
If this field is blank, usage hours calculation is disabled; the supplied value is accepted.
Bill for non-pool usage
If this field has a check, charges for days and hours of usage for non-pool units are recorded on usage tickets.
Generate usage tickets for meter readings inserted on Meter Readings - Assignments - Usage screen
Specifies whether usage tickets are generated when you process meter readings inserted on the Meter Readings tab of the Data -> Equipment Activity -> Usage -> Meter Readings – Assignments - Usage screen.
If this field has a check, the identifier of the equipment unit's assigned department at the time of the usage displays in the Department ID field on that tab when you enter the ID of the equipment unit that acquired the usage in the Equipment ID field on that tab. When you process the meter readings, usage tickets are generated and all processing associated with usage ticket generation is performed, including the calculation of rental charges (refer to the Data -> Equipment Activity -> Usage -> Usage Tickets screen).
If this field is blank, meter readings are processed but usage tickets are not generated.
Note: The value of the hours used on meter reading transactions inserted on the Data -> Equipment Activity -> Usage -> Meter Readings - Assignments - Usage screen is not calculated, even if there is check in the Compute usage ticket hours automatically field. The value in the Hours used field on the Data -> Equipment Activity -> Usage -> Usage Tickets screen is always zero on usage tickets recorded automatically from that screen.
Process usage transactions for unauthorized equipment units
If this field has a check, usage tickets for an equipment unit are processed even if the Usage tickets field on the Authorization tab of the Data -> Equipment Units -> Fleet Equipment screen does not have a check for the unit. Such tickets are identified with a Y in the equip_not_authorized column of the Usage Tickets (USG_MAIN) table.
Work calendar
If there is a check in the Compute usage ticket hours automatically field, choose one of the following:
POOL: Usage ticket hours are computed using the work calendar for the location specified in the Pool location ID field on the Data -> Equipment Activity -> Usage -> Usage Tickets screen, if specified. If no pool location is specified, the work calendar for the location specified on the Assignments tab of the Data -> Equipment Units -> Fleet Equipment screen is used.
Note: The Motor Pool module is not available in RailFocus.
USER DEPARTMENT: Usage ticket hours are computed using the work calendar for the department (as specified on the usage ticket) that used the equipment unit.
