Basic Info |
The Basic Info tab for estimates enables you to display and define identifying information about estimates. From this tab you can also access the Data -> Procurement -> Requisitions screen, on which you can insert a requisition associated with the estimate. You can also access that screen from the Procurement menu in order to manually define the requisition information.
Tip: You can use the filter to limit the display to specific estimate IDs, estimate status, bid IDs, and vendor IDs.
The field in the top section of this tab defines the data that displays.
Estimate ID
Identifier of the estimate currently selected in the grid or that you are defining. This field has a list box. You can use this ID for reporting purposes with the Query/Report Generator, Web Modules Reporting, or any other reporting tool sold separately (such as Microsoft Access) that can attach to the database. See the related documentation for these products.
Data in the fields in the bottom section of this tab define basic information about the estimate. Unless otherwise indicated, these fields are required.
Description
Description of the estimate. Free-format area.
Requested by
Identifier of the employee who requested the estimate. This field has a list box.
Vendor ID
Identifier of the vendor providing the estimate. This field has a list box of active vendors.
Vendor IDs are defined on the Basic Info tab of the Data -> Setup -> Organization Structure -> Vendors -> Primary Information screen.
Due date
Date that the estimate is due.
Date closed
Date that the estimate was closed. Required when status is CLOSED, AWARDED, ORDERED, or DECLINED. Otherwise, optional.
Bid ID
Identifier of the bid associated with the estimate. This field has a list box. Optional.
Bid IDs are defined on the Data -> Procurement -> Bids screen.
Status
Status of the estimate. This field has a list box:
PENDING
APPROVED
ORDERED
DECLINED
Select all line items for order
If this field has a check, a check is automatically inserted in the Order field on the Line Items tab for each line item on the estimate. To exclude items that you do not want to purchase, de-select the applicable items on that tab.
Generate requisition
When you process information on this screen with a check in this field, the Data -> Procurement -> Requisitions screen appears automatically, displaying information for each line item that has a check in the Order field on the Line Items tab. You can update the information as needed and then process requisitions to purchase the line items.
