End of day processing of Motor Pool module data |
If the optional Motor Pool module is installed when you use the System Mgmt -> End of Period screen to perform end of day processing, the following tasks are performed.
Note: The Date and time of expected return and the Date and time required fields mentioned in this section are located on the Status/Other Info tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen.
Reservations with a status of DISPATCHED are identified and, if the date and time of expected return has passed, their status changed to LATE.
Reservations with a status of LATE are identified. On these reservations, a one day’s late charge is levied and the date and time of expected return are set to the same time on the next workday in the work calendar for the pool dispatch location on the reservation.
Reservations with a status of CONFIRMED are examined. If the date and time required has passed and no unit was dispatched, the status automatically changes to NO-SHOW and no-show charges are applied. A record is written to the Usage table for each no-show and the applicable no-show charge for the pool vehicle type for rental rates on the reservation entered under other charges. The usage record includes the department ID, account ID, cost center, dispatch location ID, date and time required, and the first operator ID from the reservation record.
Reservations with a status of STANDBY are examined. If the pool vehicle type becomes available at the dispatch location on the date and time required until the date and time of expected return, the reservation status is automatically upgraded to CONFIRMED and a confirmation ticket printed for each reservation that was upgraded.
STANDBY reservations that were updated to a status of CONFIRMED are examined. If the unit is available for dispatch, messages regarding the status change are sent to the dispatch location and department print queues. If the unit is not available for dispatch, the status reverts to STANDBY. See Rules of motor pool availability.
Reservations with a status of STANDBY that were not updated to CONFIRMED prior to the value are identified, and their status is updated to EXPIRED.
