Serialized Parts |
The Serialized Parts screen enables you to track the serial numbers of important or expensive stocked parts. It displays details about the specific part, its status, and recent history. Store personnel can track the movement of an organization’s valuable serialized parts throughout their life cycle: from the shelf to the vehicle to the rebuild shop and back to the shelf.
You can also use this screen to update an existing part's record to include its serial number.
Tip: For a part to be serialized, its part classification must have a check in the Serialized checkbox on the Data -> Parts Items -> Setup -> Part Classifications screen.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on part ID/suffix, serial number, current location, current position, equipment ID, status, and vendor ID.
The fields in the top section of this tab provide information about the part.
Part ID
Identifier of the part currently selected in the grid or that you are defining. This item can be a valid ID or any other part number. This field has a list box of parts classified as serialized. The part's description displays to the right of the ID.
Part IDs are defined on the Basic Info tab of the Data -> Parts Items -> Primary Information screen.
Part suffix
Number associated with the part in the Part ID field, which distinguishes it from other parts with the same part ID. This field is required.
This suffix applies only if the part ID is a valid system part ID.
Serial number
Serial number of the part. This field is required. The maximum field length is 50 characters. If you are assigning a serial number to an existing part, it must have a status of IN STOCK.
Associated component equipment ID
Identifier of the component associated with the serialized part. This field is display only.
The fields in the bottom section of the tab enable you to provide details about the part's location, the last work order where the serialized part was installed or removed from an equipment unit, the part's status, receipt unit price, vendor ID, and receipt date.
Current location
The current location of the part. This field has a list box. Optional if there is a check in the Do not consider stock location of serialized parts field on the General tab of the Data -> Parts Items -> Setup -> Options screen.
Locations are associated with site types on the Functions tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.
Current equipment ID
Identifier of the equipment unit on which the part is currently installed. This field has a list box. The equipment description displays in the unlabeled field to the right.
Current position
Part's current position on the equipment unit. This field has a list box. The position description displays in the unlabeled field to the right.
The Data -> Parts Items -> Setup -> Part Classifications screen specifies whether positional information is required when a part is either removed or installed.
Last install work order
Number of the last work order during which the part was installed on an equipment unit. This field is optional. This field has a list box. If the work order is already on file, you can click the Zoom button to access the applicable Work Order Center screen.
Tip: The work order number must be valid and may not have a status of PENDING.
Last install date
Last date (in MMDDYYYY format) that the part was installed on an equipment unit. This field is optional.
Last removal work order
Number of the last work order during which the part was removed from an equipment unit. This field is optional. This field has a list box. If the work order is already on file, you can click the Zoom button to access the applicable Work Order Center screen.
Tip: The work order number must be valid and may not have a status of PENDING.
Last removal date
Last date (in MMDDYYYY format) that the part was removed from an equipment unit. This field is optional.
Last rebuild work order
Identifier of the last rebuild work order. This field is optional. This field has a list box. If the work order is already on file, you can click the Zoom button to access the applicable Work Order Center screen.
Tip: The work order number must be valid and may not have a status of PENDING.
Last rebuild date
Last date (in MMDDYYYY format) that the serialized part was rebuilt. When an internal rebuild work order for a serialized part is closed, this field is set to the date closed on the work order. When a rebuilt serialized part is received from an external vendor, this field is set to the date the part was added to inventory.
Status
The part's status. This field includes the following choices:
STOCKING: The part is in stocking status
PICKED: The part has been picked
IN STOCK: The part is in stock
INSTALLED: The part is installed on an equipment unit
AWAITING REBUILD: The part is waiting to be rebuilt (i.e., not available for use)
AWAITING DISPOSITION: The part is warrantable (under warranty) or reusable
RETURN TO VENDOR: The part has been returned to the appropriate vendor
SCRAPPED: The part has been disposed
If you change a part's status, a warning message appears. Status is automatically updated through other processing that interacts with this data; stock levels are not affected by status changes on this screen.
Note: If you return a rebuilt part to inventory and the installed and removed serial numbers match the original numbers, the status of the part that was installed changes to IN STOCK and the status of the part that was removed changes to INSTALLED. If a part's status is transferred from CORE-REBUILD or CORE-WARRANTY to USED, its status changes to IN STOCK.
Last status change date
Date (in MMDDYYYY format) of the last status change. This field is display only.
Receipt unit price
Unit price of the serialized part. This field is optional. The maximum field length is eight characters.
Vendor ID
Identifier of the part's manufacturer. This field is optional. This field has a list box. The vendor's description displays in the unlabeled field below the vendor ID.
Vendor IDs are defined on the Basic Info tab of the Data -> Setup -> Organization Structure -> Vendors -> Primary Information screen.
Receipt date
Date (in MMDDYYYY format) that the part was received. This field populates automatically with the current date, but you may change it. Must be the current system date or earlier.
Tag ID
Identifier of the inventory tag in the real-time locating system (RTLS) for high-value serialized parts. This field is optional. This field has a list box. Tag IDs (known as access keys) are recorded on the System Mgmt -> Setup -> Security Tags -> Access Keys screen.
Current assignment
The current assignment of the equipment. These fields do not display if the system is not licensed for Allocation and Assignment.
Operator ID: The identifier of the operator assigned to the work order.
Department ID: The identifier of the department assigned to the work order.
Account ID: The identifier of the account assigned to the work order.
Location ID: The identifier of the location assigned to the work order.
Last assignment activity
The last assignment. This field has a Zoom button that opens the Allocation and Assignment screen to the selected record. This field does not display if the system is not licensed for Allocation and Assignment.

Comments associated with the part.
