Add to List |
The Add to List tab enables you to add inventory items to the list you created on the Count Info tab. You can restrict the count to a specific range of bins, a specific count group, an assigned month, or a non-random set of a specific number of parts. You can also set a range of parts for this same process as well by entering the to/from part ID/suffix.
To determine whether to add a part to the count list, the entered criteria is reviewed, the history of how often the part has been counted within the specified time frame (calendar year versus fiscal year) is checked, and how often the part should be counted based on its ABC code is checked. If the part has already been counted enough times that year, it is not added to the list. Individual parts may be added to the list manually.
Note: If a part has multiple bins defined, adding it to the list adds line items for each bin. Each bin must be counted before meaningful evaluations may be made about the counts.
The Inventory Count Management screen supports location level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on location ID, count ID, status, and date/time scheduled. If there are more than 1,000 part ID-suffix/bin combinations to count, only the first 1,000 display. You can use the Data -> Parts Activity -> Inventory Counts -> Count Entry or Data -> Parts Activity -> Inventory Counts -> Count Analysis screens to see the other part ID-suffix/bin combinations.
Tip: How you manage parts and inventory (i.e., CENTRALLY, BY LOCATION, or ENTERPRISE) determines the information that displays:
CENTRALLY: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Primary Information screen
BY LOCATION: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Location Information screen
ENTERPRISE: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Location Information screen
The fields in the top section of the tab define the data that displays.
Location ID
Identifier of the inventory location. This field has a list box. You can only process counts for one location at a time. You must have authority to process parts inventory transactions at this location. The location name displays to the right of the ID. This field is required.
Count ID
Identifier of the count. Required, and must be unique.
Note: When a location ID is specified, this field defaults to "location ID-year-<nextval>" format, where <nextval> is the next number in the sequence, beginning with "0000001".
The fields in the bottom section of this tab enable you to specify additional selection criteria for the item being added to the list.
Inventory month
The month (or months) in which the inventory count occurred. This field has a list box. This field is optional. Inventory month is specified on the Stock Mgmt tab of the Data -> Parts Items -> Primary Information screen.
Note: If you specify NONE, parts are added only if the inventory month value is NONE. If you leave the month selection blank, parts from all inventory months except NONE are added.
Bin ID from
Identifier of the bin in which the item is stored. Automatically defaults to the primary bin, but you can change it. This field has a list box. This field is optional.
Bin ID to
Identifier of the bin in which the item is stored. Automatically defaults to the primary bin, but you can change it. This field has a list box. This field is optional.
Tip: Enter a range of bin IDs (from and to) to add parts to the list that are stored in the bins within the alphabetical range.
Primary bin only
This checkbox, when set to Y, will only allow Parts that have a primary bin set to be added to the Parts list. If the location option "Require one count entry across all bins if part is stored in multiple bins" is enabled, the bin criteria (From Bin, To Bin, and Primary bin only) from the Add to List tab is not used for adding parts to the Inventory Count Management list of parts.
Part ID from
The first ID in the range of part IDs.
Part suffix from
The first part suffix in the range of part suffixes.
Part ID to
The last ID in the range of part IDs.
Part suffix to
The last part suffix in the range of part suffixes.
Preferred vendor ID
The ID of the preferred vendor for the part.
Count group
Count group to which the item will be added. You may want to use this to split your counts by week, by person, or by usage. This field is optional.
Tip: If you want to add this field as selection criteria in your inventory count list reports, the table and column name is PLO_MAIN.inv_group if you manage parts ordering and EOQ values BY LOCATION and PTS_MAIN.inv_group if you manage parts ordering and EOQ values CENTRALLY.
List of x parts within selection criteria
Number of parts to be counted. Calculated as the total number of stocked parts at the location multiplied by the number of counts per year by ABC code, divided by the number of working days in the current calendar year. The result is rounded up to the nearest whole number. You can overwrite the result. A validation ensures that a part has not been counted in X days. If a part has not been counted, it is added to the list. Otherwise, it is skipped. The parts list for the location, displayed on the Count Info tab, is ordered by bin and then by part ID and suffix.
Note: The number of working days is based on the Date and time scheduled field on the Count Info tab. If the scheduled date and time are set to 07/01/2015, for example, the application calculates the number of working days in 2015 and uses it in the formula. If the Date and time scheduled field is blank, this field is not set.
Non-random list of parts
If this field has a check, parts that meet the selection criteria are added to the list in a non-random order. The count defaults to the value in the List of x parts within selection criteria field, but you can overwrite it. If this field is blank, a random list is generated.
