The Count Info tab enables you to build an inventory count list by entering a list of parts to be counted or build a list using parameters similar to the filter dialog on the Inventory Counts screen.
The Inventory Count Management screen supports location level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on location ID, count ID, status, and date/time scheduled. If there are more than 1,000 part ID-suffix/bin combinations to count, only the first 1,000 display. You can use the Data -> Parts Activity -> Inventory Counts -> Count Entry or Data -> Parts Activity -> Inventory Counts -> Count Analysis screens to see the other part ID-suffix/bin combinations.
Tip: How you manage parts and inventory (i.e., CENTRALLY, BY LOCATION, or ENTERPRISE) determines what information displays:
CENTRALLY: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Primary Information screen
BY LOCATION: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Location Information screen
ENTERPRISE: Information only for parts with a value other than NONE in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Location Information screen
The inventory management method is specified on the General tab of the Data -> Parts Items -> Setup -> Options screen.
Inserts, updates, and automatic adjustments are allowed regardless of the value in the Inventory month field on the Stock Mgmt tab of the Data -> Parts Items -> Primary Information screen.
The fields in the top section of the tab define the data that displays.
Location ID
Identifier of the inventory location. This field has a list box. You can only process counts for one location at a time. You must have authority to process parts inventory transactions at this location. The location name displays to the right of the ID. This field is required.
Count ID
Identifier of the count. Required, and must be unique.
Note: When a location ID is specified, this field defaults to "location ID-year-<nextval>" format, where <nextval> is the next number in the sequence, beginning with "0000001".
Data in the fields in the bottom section of the tab provide details about the part and inventory count.
Status
Count status of the item. This field has four options: PENDING, DOWNLOADED, IN PROGRESS, and COMPLETED. This field is required.
Date and time scheduled
Date and time (in MM/DD/YYYY HH:MM format) that the inventory count is scheduled. This field is optional.
Assigned to
Identifier of the employee to whom the count is assigned. This field has a list box. The employee name displays to the right of the ID. This field is optional.
Note: The choice list is restricted to active employees at the location. You may, however, specify any employee that is active and has a valid ID.
The following fields, presented in a screen group, enable you to provide more information about the parts being counted.
Delete
To delete the entries in the fields to the right, place a check in this field and click Save. Only counts with a status of PENDING, NEED RECOUNT, IN PROGRESS, and DISCREPANCY may be deleted.
Part ID
Valid identifier of the part being counted. This field has a list box. The part description displays to the right of the ID. This field is required.
The part ID-suffix combination may not be changed unless the status is PENDING.
Note: If you enter a valid cross-reference entry for the part ID/suffix, it is automatically converted to the appropriate part ID/suffix. If more than one valid part ID/suffix is associated with the cross-reference part ID, a list box of valid part ID/suffixes appears.
Part suffix
Number associated with the part in the Part ID field, which distinguishes it from other parts with the same part ID. This field is required.
This identification applies only if the part ID is a valid part ID.
Bin ID
Identifier of the bin in which the item is stored. Automatically defaults to the primary bin, but you can change it. This field has a list box. Required if a count is entered and the part has bin information defined; otherwise, optional.
Tip: If a part is stored in multiple bins, you must record a count for each bin for that part before you can resolve the count.
Count qty
Quantity on hand of the item being counted. Must be a positive number. Two decimal places are allowed only if the part is classified as fractional.
Parts are classified as fractional on the Data -> Parts Items -> Setup -> Part Classifications screen.
Count UOM
Unit of measure for the count. This field has a list box. Required if a count quantity is entered; defaults to the unit of measure specified on the Basic Info tab of the Data -> Parts Items -> Location Information screen. If a count quantity is not specified, this field is optional.
Date and time counted
Date and time (in MM/DD/YYYY HH:MM format) that the item was counted. Defaults to the current date and time, but you can change it. May not be a future date. Required if a count quantity is entered.
Counted by user ID
Identifier of the user who entered the count. Defaults to the ID of the user currently logged in, but you can change it. This field has a list box. Required if a count quantity is entered.
Date and time recorded
Date and time (in MM/DD/YYYY HH:MM format) that the count was recorded. Defaults to the current date and time, but you can change it. May not be a future date.
Status
Status of the count. This field is display only.
PENDING: Count has not been entered.
NEED RECOUNT: Count was entered, but it needs to be recounted.
IN PROGRESS: Bin count has been entered, but other bins for this part are in PENDING or NEED RECOUNT status.
DISCREPANCY: Count entered did not match the quantity on hand.
COUNTED: Count was entered and matches the quantity on hand.
NO ADJUSTMENT: There was a discrepancy between the count quantity and the quantity on hand, but the user decided not to perform an adjustment to make the two match.
RESOLVED: An adjustment was made to resolve the discrepancy between the count quantity and the quantity on hand.
Date and time resolved
Date and time (in MM/DD/YYYY HH:MM format) that the count was resolved. This field is display only.
Reason code
Explanation for the adjustment, if any. This field has a list box. This field is optional.
Count group
Count group to which the item is assigned. This field is display only.
