The Basic Info tab for locations enables you to display and define identifying information about locations.
Special Note About Deletions: To delete a location ID, you must first delete all parts records at that location and all tanks at that location. See the Primary Information screens for Data -> Parts Items and Data -> Fuel/Fluid Tanks. Before you do this, transfer any existing inventory to other locations. If the optional Motor Pool module is installed, you must also ensure that no reservations activity is pending at a location before you delete it.
The field in the top section of this tab defines the data that displays.
Location ID
Identifier of the location currently selected in the grid or that you are defining. It must contain only valid bar code characters. This field has a list box. The location name displays to the right of the ID.
Tip: You can use the Grant access to data only for authorized location IDs field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen to restrict users from using specific screens on the Data menu to view or modify information associated with this location. See Location-level access control.
The fields in the bottom section of this tab define the basic information for the location. Unless otherwise indicated, these fields are required.
Name
Name associated with the location ID.
Display name
Display name associated with the location ID. Displays public- or customer-facing location data in the Pickup Location field in the Reservations portal. This field is optional.
Contact name
Name of the contact person. This field is optional.
Address ID
Identifier of the address used for the department. If an address ID is entered, the address ID information will be used instead of address lines 1-4. Detailed address information for address IDs is set up on the Addresses screen.
Address
Line 2, 3, 4
Address or post office box of the location ID. Optional, free-format area with three additional lines.
Phone
Telephone number of the contact person. Maximum field length is 30 characters. This field is optional.
Fax
Fax number of the contact person. This field is optional.
Default SLA availability location ID
Identifier of the location associated with the SLA for the equipment. This field has a list box. The location name displays to the right of the ID. This field is optional.
Specify if you want the availability location of an equipment unit to change when its current location changes.
Leave blank if you do not want the equipment availability location ID to update when the current location ID changes.
Note: The current location ID on an equipment unit can change through several means:
Manual update on the equipment screen
Yard moves recorded through the Yard Management portal or directly through the Yard Moves screen
Reservation return of an equipment unit through the Motor Pool Center screen
Account ID for interfacing
Identifier of the account for interfacing. This value is only used through the interface; it is not the default. This field has a list box. The Account ID field on the Edit Criteria - General tab of the Data -> Setup -> Options screen specifies whether information in this field is required, optional, or not required.
County ID
Identifier of the county in which the location is located. This field is optional.
County IDs are defined on the Data -> Equipment Activity -> Special Fees -> Setup -> Counties screen.
Tax code
Location’s tax code. This field is optional, free-format area.
Email address
E-mail address for the location. This field is optional.
Boundary segment ID
Identifier of the segment boundary. To define a location as an area, specify the boundary segment ID and then set up the segment with markers to define the boundary. This field has a list box. This field is optional.
Segment IDs are defined on the Data -> Equipment Units -> Linear Assets -> Setup -> Segments screen.
Note: A LinearFocus license is not required to use this field.
Shape ID
Identifier of the shape. This field has a list box. The shape description displays in the field to the right.
Shapes are defined on the Data -> Equipment Units -> Linear Assets -> Setup -> Shapes screen.
Map symbology ID
Enter the symbology ID of the icon you want associated with the segment. This field is optional, but if entered, must be a valid entry. The field pulls the icon associated with the ID from the Mapping Symbology screen.
Latitude
The latitude of the location. Entries must be between -90 and 90, and can only have a maximum of six decimal characters.
Longitude
The longitude of the location. Entries must be between -180 and 180, and can only have a maximum of six decimal characters.
