The Basic Info tab for pool vehicle and resource types enables you to display and define identifying information about the vehicle types assigned to the motor pool. You can also enable charging work orders for usage.
The field in the top section of this tab defines the data that displays.
Pool vehicle/resource type
Type of vehicle currently selected in the grid or that you are defining. This field has a list box. If the type is already defined, its description displays to the right of the field.
Data in the fields in the bottom section of this tab define basic information about the pool vehicle type. Unless otherwise indicated, these fields are required.
Description
Description of the pool vehicle type. Free-format area.
Screen message
Message associated with the pool vehicle type. Free-format area. This field is optional. The message displays on the Vehicle Requirements tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen.
Print message
Message associated with the pool vehicle type that prints on the reservation tickets. Free-format area. This field is optional.
Capacity - maximum number of passengers
Number of people that the vehicle can accommodate, including the driver. A large sedan, for example, might have a capacity of 5. Optional, but must be a positive number if entered. Defaults to 0.
Outside rental agency vehicle type
Note: You may change the value in this field only if the reservation assigned to the pool vehicle type (for either availability or rental rates) has a status of RETURNED, NO-SHOW, EXPIRED, or REFUSED.
If this field has a check, vehicles of this type are rented from outside agencies. When you insert or update a reservation for this pool vehicle type, the system does not check the pool for availability because these types are not part of the pool.
If the Vehicle Requirements tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen specifies a pool vehicle type for availability that has a check in this field, AGENCY displays in the Equipment ID field on the Dispatch tab of the Motor Pool Center screen.

Rental agency ID
Identifier of the outside rental agency that supplies the pool vehicle type. This field has a list box. Required if there is a check in the Outside rental agency vehicle type field.
Rental agency IDs are defined on the Data -> Equipment Activity -> Motor Pool -> Setup -> Rental Agencies screen.
Active
If this field has a check, the pool vehicle type is active. If this field is blank, the pool vehicle type is inactive. Inactive pool types cannot be manually entered on equipment or in the Motor Pool Center, nor will they display in choice lists.
Note: You cannot deactivate a vehicle type if the vehicle type is being used by equipment, reservations, or an operator.
Allow charging usage on work orders
If this field has a check, work orders may be charged for use of the pool vehicle type.
Associated File
Path and file name: This
field shows the file path of the associated file. To add a new file,
click the file launch button. For more information
on the file launch process, refer to How
to Add a File. Be sure the size of the files you upload are small
enough to not bog down the system, especially when using catalogs
with many items with images.
