The Motor Pool tab for locations enables you to display and define how reservations for motor pool equipment units at this location are handled.
The field in the top section of this tab defines the data that displays.
Location ID
Identifier of the location currently selected in the grid or that you are defining. This field has a list box. The location name displays to the right of the ID.
Data in the fields in the bottom section of this tab define how reservations for the location are handled. Unless otherwise indicated, these fields are required.
Reservations dispatched and returned automatically
If this field has a check, dispatch and return information for reservations are automatically processed at the location ID, regardless of whether the Dispatch and Return tabs on the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen specify an equipment unit ID or a meter 1 reading for the reservation.
Equipment units assigned to these reservations are assigned a status DISPATCHED based on the date and time required and a status of RETURNED based on the date and time of expected return specified on the Status/Other Info tab of the Motor Pool Center screen. If they are not, you must update those fields on that tab. If a reservation has a status of RETURNED, the Return tab displays usage charges.
Reservations that are dispatched automatically are assigned an equipment ID of AUTODISP. Usage for these reservations is not charged to a specific equipment ID, but you can use the Usage table (USG_MAIN) to charge a department.

Date and time of last automatic dispatch/return processing
Date and time that processing started on the last automatic dispatch/return that finished normally. This field is display only.
Minutes from last to next automatic dispatch/return processing
Number of minutes after the date and time of the last automatic dispatch/return processing that automatic dispatches and returns are processed again. It must be greater than zero. The default is 0 minutes.
Print dispatch tickets for reservations dispatched
If this field has a check, the default standard printer displays in the Printer ID field on the Output Control tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen and dispatch tickets print when you process motor pool reservations that have a status of DISPATCHED from this location ID.
The default printer is specified on the Printers tab of the System Mgmt -> Setup -> Access Rights -> Users screen. The status of equipment unit reservations is specified in the Status field on the Status/Other Info tab.
Minimum hours in future of date and time required to qualify for automatic upgrade STANDBY to CONFIRMED
Minimum number of hours between the current date and time and the date and time required (specified on the Status/Other Info tab of the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen) to automatically upgrade a reservation with a status of STANDBY to a status of CONFIRMED.
When the Status/Other Info tab updates a reservation status to RETURNED or deletes a reservation with the status CONFIRMED, reservations for the same pool vehicle type at the return location that have a status of STANDBY are examined, and the reservation status of the earliest booked reservation for which a unit is now available on the date and time requested is automatically updated until the date and time of expected return has a status of CONFIRMED.
Do not track availability for this location
If this field has a check, equipment unit availability is never checked at this location. This option is helpful if you enter reservations on the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen that are tracked in another system. When making a CONFIRMED reservation or dispatching a reservation, overall availability will not be checked at locations that have this option specified. To be dispatched, an equipment unit may not be out on another reservation.
Default values for
When you insert a reservation on the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen with the same location ID as the one in the Dispatch location ID field on the Status/Other Info tab, the following values display in their respective fields on that tab. You can change the values.
Date required
This field has a list box:
NONE: Neither a date nor a time display.
TODAY: The current system date and time specified in the Time required field display.
Time required
Time (in HH:MM format) that the equipment unit is required. This field is optional.
Date of expected return
This field has a list box:
NONE: Neither a date nor a time of expected return display.
TODAY: The current system date and the time specified in the Time of expected return field display.
DATE REQUIRED: The date specified in the Date required field and the time specified in the Time of expected return field display.
Time of expected return
Time (in HH:MM format) that the return is expected to occur. This field is optional.
Destination city
Name of the city in which the return will occur. This field is optional.
Destination state
Two-letter abbreviation of the state in which the return will occur. This field has a list box. This field is optional.
Qty of passengers
Number of passengers. This field is optional.
