Cross-references |
The Cross-references screen enables you to display and define cross-reference relationships between parts. You can also access this information on the Cross-references tab of the Data -> Parts Items -> Location Information screen.
In general system use, you will not be creating cross-references with this screen, as cross-references are generated throughout the system by different activities in the portal workflows. For example:
Part renumbering or part merging (option-driven)
Part Primary and Part Location updates:
Setting or modifying part manufacturer name or part manufacturer number
Setting or modifying the part VRMS code (option driven)
Vendor part record: Setting or modifying the part manufacturer number
You can use this screen to build a catalog of parts cross-references for online look-up, including as many as you need of the following types of entries:
One system part ID to another system part ID
One system part ID to any vendor/manufacturer part number
Any vendor/manufacturer part number to a system part ID
Any vendor/manufacturer part number to any other vendor/manufacturer part number
For example, if a part is being discontinued, and a new part will take it's place, a cross-reference can be created to take over in the event the old part was requested. So, if Filter001A is being discontinued, and is replaced by Filter001B, you can create a cross-reference between these two parts.
In the Enterprise Portal screens, if your organization has the options enabled and the cross reference listed above created, if someone issues part Filter001A, the system checks to see if 0001A is defined in the system. When this part is not found, the system checks the cross-reference tables to see if a cross-reference exists. Once the system finds the cross-reference (such as 001B for 001A), it replaces the issue or order line with Filter001B (or the other part defined for the cross-reference in the system).
When entering a part manufacturer number on the Part Location or Part Primary Information screens (depending on the inventory management settings), it will create a cross-reference for that part number. A user can then issue the part using the manufacturer number if they know that number, and when the issue takes place, the part ID will change the entered manufacturer number to the actual part ID from the internal system.
Note: For replacement to happen, the Automatically replace cross-reference part ID entry with stock part ID option on the Parts - Setup - Options screen, General tab must be checked.
Note: Renumbering or merging generation of cross-references, make sure the Do not build cross-reference between old and new ID of renumbered or merged part option on the Parts - Setup - Options screen, General tab must be checked.
Note: If there are multiple cross-references, the part will not automatically be changed, but instead, the choice-list is filtered to show the cross-references parts.
Cross-references are automatically created when two parts are merged.

Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on part ID/suffix, vendor for reference part ID, cross-reference part ID, cross-reference suffix, and cross-reference vendor ID. If you specify a cross-reference part ID and the system cannot find it, it searches for and displays the applicable system part ID.
The field in the top section of this tab defines the data that displays.
Part ID
Identifier of the part currently selected in the grid or for which you are defining a cross-reference relationship. This ID will be a reference or basis for lookup of the part ID in the Cross-reference/part ID field. It can be a valid ID or any other part number. Required.
This field has a zoom button to the Data -> Parts Items -> Location Information screen, which specifies locations where a part is stocked and defines information about how the location manages the part inventory. It also has a list box. The part description displays to the right of the ID.
Part IDs are defined on the Data -> Parts Items -> Primary Information screen.
Part suffix
Number associated with the part in the Part ID field, which distinguishes it from other parts with the same part ID. Required. The suffix applies only if the part ID is a valid system part ID.
Data in the bottom section of the tab define the cross-references.
Vendor for reference part ID
Identifier of the parts vendor that supplies the part. This field has a list box. Optional. This item can be a system vendor ID, defined on the Basic Info tab of the Data -> Setup -> Organization Structure -> Vendors -> Primary Information screen, or any other vendor identification. This field is required.

Manufacturer for reference part ID
Identifier of the manufacturer that made the part. When creating or modifying the manufacturer ID on the Part Primary Information or Part Location Information screens, two cross-references are created when saving the record. This is a two-way cross reference. Refer to the Association type field below for more information on one-way and two-way reference types. The cross-reference records include the following information:

Cross-reference part ID
Part identifier to cross-reference to the part ID in the Part ID field. This is the ID that is retrieved when you look up that part ID. May be a system part ID or any other part number. Required.

Cross-reference part suffix
Part suffix associated with the cross-reference part ID. This suffix is automatically assigned to a part ID to distinguish it from a different part with the same part ID. This applies only if the cross-reference part ID is a valid system part ID. Required.
Cross-reference vendor ID
Identifier of the vendor to cross-reference to the vendor for the reference part ID.
Cross-reference manufacturer ID
The identifier of the manufacturer to cross-reference to the manufacturer for the reference part ID. Refer to the Association type field below for more information on one-way and two-way reference types.
Type of relationship between the two part references. This field has a list box.
For the examples below, the reference part ID is the part ID coming from an outside source (such as a vendor part ID, manufacturer ID, etc), and the internal system ID is an ID set up in the asset management system by your organization.
TWO-WAY: Two cross-references are made. Both records reference to the other, for instance, part A refers to part B, and part B refers to part A.
Record 1: From the reference ID to the internal system ID
Record 2: From the internal system ID to the reference ID
ONE-WAY: One cross-reference is made. The reference will only work one way, for instance, part A refers to part B, but part B will not refer back to part A.
Record 1: From a reference or internal ID to another reference or internal system ID
The association type can be set as two-way or one-way, whether the cross-reference refers from both directions, or only refers from one direction. For example, if the reference/cross reference is recorded first and then, if the Association type field specifies TWO-WAY, the data is reversed to record a cross-reference/reference entry.
Note: If the record changes from two-way to one-way, the old corresponding two-way record is deleted. If the record changes from one-way to two-way, a corresponding two-way record is created.
