Work Order Closing


The Work Order Closing screen enables you to finish or close multiple work orders simultaneously. You can use either Insert or Update mode to change the work order's job status to either WORK FINISHED or CLOSED.

To review and close work orders with a status of WORK FINISHED, click the Get Data button. The finished work orders for your shop (specified in the Session location ID field on the System Mgmt -> Setup -> Access Rights -> Users screen) will appear. Data is sorted in ascending order by work order ID.

If you know the list of work orders you want to finish or close, you can use Insert mode to enter the work order IDs and the other appropriate data. If you have a stack of hard copy work orders with bar codes and your workstation is equipped with a wedge scanning device, you can scan the work order IDs into this screen. Place the cursor in the Work order location ID field in the group and then scan the work order ID you wish to finish or close.

If MobileFocus is installed, you can use hand-held devices to transfer work order information between the system and the hand-held devices in order to work with the data from remote locations. See the related documentation for this product.

Detail View Header

The field in the top section of this tab defines the data that displays.

Work order location ID

Identifier of the shop location to which the work orders are assigned. This field displays the ID from the filter. If you do not specify a location in the filter, this field displays the Session location ID specified for you on the Basic Info tab of the System Mgmt -> Setup -> Access Rights -> Users screen. This field has a choice list.

Edit selected work order

If additional data entry is required to close a work order, you are notified as to what needs to be changed. Refer to Requirements for closing a work order. If you need to modify a work order, select it and then click the Edit selected work order button to access the Data -> Shop Activity -> Work Order Center screen.  

Detail View

The screen group in the bottom section of the tab displays the work orders currently in a WORK FINISHED status for the specified work order location ID.  When you click on a row, details of the work order display in the unlabeled text field below the group. Among other details, the text field lists TASK ID: [task id and task description] and WAC: [work accomplished code and description]. The work accomplished code information is provided only if it exists for the task.  

Close all work orders listed

To mark all the work orders currently listed in the screen group as CLOSED, place a check in this field. If there are one or more pending part requests, a warning message appears. You can choose to close anyway or cancel the transaction and fix the condition before trying to close again.

WO location

Identifier of the shop location to which the work order is assigned. This field, along with the -yr (work order year) and -no (work order number) fields, make up the work order ID.

-year

Fiscal year in which the work order was opened. This field, along with the Work order location field and the Work order number field, make up the work order ID.

-number

Number of the work order. This field, along with the Work order location and Work order year fields, make up the work order ID.

Work order status

Current status of the work order. This field is display only.

Job type

Type of job for the work order. This field is display only.

Equipment ID

Identifier of the equipment unit. This field is display only.

Finish

If this field has a check, work on the unit is completed. Shop downtime stops accumulating and the current date and time automatically display in the Date and time finished field.

Date and time finished

Date and time that work on the unit was finished. When you place a check in the Finish field, the current system date and time display in this field, but you can change it. It must be the current system date and time or earlier.

Close

When you process a check in this field, the work order is closed. The current date and time display in the Date and time closed field. See Requirements for closing a work order. If there are one or more pending part requests, a warning message displays. You can choose to close anyway or cancel the transaction and fix the condition before trying to close again.

Date and time closed

Date and time the work order was closed. When you place a check in the Close field, the current date and time display in this field, but you can change them to an earlier date and time before you process the data.

To change the date and time after the close is processed, you must be assigned to a user rights group that has a check in the Change work order close date/time field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen. It must be the current system date and time or earlier.

If the following conditions are met for the work order’s valid tasks on the Tasks tab of the Data -> Shop Activity -> Work Order Center screen, a service request is generated on the Data -> Equipment Activity -> Service Requests/Defects screen for the tasks.

Employee ID

Identifier of the employee to whom this work order is assigned, or the vendor to which the unit was sent for work. Display only. The employee or vendor name displays to the right of the ID.

Repair reason ID

Identifier of the reason for the repair. This field is display only. The repair reason description displays to the right of the ID. Repair reason IDs are defined on the Data -> Shop Activity -> Setup -> Repair Reasons screen.

Work class

Code that specifies a work class. This field is display only.

Reference order ID

Reference or external work order ID to associated with this work order. If the work order was generated as part of a multi-unit project, the project ID displays. This field is display only.
