Note: Prior to version 18, this screen was known as Subsystems and Parts.
An equipment unit or equipment type may have many subsystems or attributes, such as body, engine, transmission, fuel, air, and brakes. Typically, these items have their own identification measures such as a serial number or meter, and are fixed (cannot be moved from one equipment unit to another). You usually do not want to track information about them separately from the equipment unit of which they are a part. See also Is it an equipment unit, an asset, or a subsystem?
This screen enables you to assign subsystems and parts to equipment types and equipment units and to define the properties (elements) that the subsystems consist of.
EXAMPLE: You can define a fuel system as a subsystem of equipment type diesel bus (or of equipment unit #001). You can then define parts for the subsystem, such as fuel filter, fuel pump, fuel cap, and fuel key number.
Note: If there is a check in the Grant access to data only for authorized department IDs field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen for all the user groups to which you are assigned, department-level access controls are in effect. See department-level access control for more information.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on equipment type, equipment class for maintenance, equipment ID, subsystem, property, or any combination thereof.
The fields in the top section of this tab define the data that displays. You must enter a value in either the Equipment type, Equipment class for maintenance, or Equipment ID field.
Equipment type
Type of equipment unit that uses the subsystem. This field has a list box. The equipment type description displays to the right of the ID.
Equipment class for maintenance
Equipment class for maintenance that uses the subsystem. This field has a list box. The equipment class description displays to the right of the ID.
Equipment ID
Identifier of the equipment unit that uses the subsystem. This field has a list box and a zoom button to the Data -> Equipment Units -> Fleet Equipment screen. The equipment year, manufacturer, and model display to the right of the ID.
Tip: You can set a zoom button for this field to detect the type of equipment and display the appropriate screen. If you used Administrator Mode to add a zoom button, you will need to use it again to remove your user-defined zoom button for this functionality to work.
Subsystem
Name of the subsystem for use with the equipment type or equipment ID. This field has a list box. Subsystems are defined on the Data -> Equipment Units -> Setup -> Equipment Subsystems screen.
Data in the fields in the bottom section of this tab define the subsystem. Unless otherwise indicated, these fields are required.
Print on PM orders
If this field has a check, printed copies of preventive maintenance (PM) orders obtained from the Data -> Shop Activity -> Work Order Center screen include a list of the values assigned to the subsystem’s properties for the equipment unit or equipment type.
Template for equipment subsystems
If this field has a check and there is an entry for an equipment type or an equipment class for maintenance, the attributes entries from the table below are automatically created for all equipment IDs assigned to that equipment type or equipment class for maintenance. This process also occurs when a new equipment unit is added or changed to an equipment type or equipment class for maintenance that has a subsystem template. You can update the template with data specific to the equipment unit, such as serial numbers for major systems or parts. The template is generated only if the subsystem does not already exist.
To activate this functionality, place a check in the Automatically build equipment subsystem data from template field on the General Info tab on the Data -> Equipment Units -> Setup -> Options screen.
Tip: Template creation may take a while because all equipment units that match the criteria must be found. Be sure that your equipment types and/or equipment classes for maintenance are as specific as you want them to be, because the process could generate a lot of data if these items are defined too broadly.
Note: If you use this screen to record serial numbers for major systems or parts, this data is static. It does not create serialized part data or affect inventory levels. Serial number data recorded on this screen is not updated through part issue activities or component relationships.
If the Equipment Planning module is installed, checks in the following two fields specify whether the instruction is used as a default for the same field in the screen group. These defaults are in effect only if you place a check in the fields prior to entering the properties in the screen group.
Bill of materials
If this field has a check, the subsystem is included on the bill of materials.
If Bill of materials is checked, the Active checkbox in the Attributes Data Table must also be checked for the line item to show as Bill of Materials.
Include subsystem on equipment planning project templates
If this field has a check, the subsystem is included on templates for projects that have the equipment ID or equipment units assigned to the equipment type or equipment class for maintenance. The subsystem displays on the Standard and Optional Equipment tab of the Data -> Equipment Management -> Planning -> Templates screen.
Include subsystem on equipment planning projects
If this field has a check, the subsystem is included on projects that have equipment units assigned to the equipment type or equipment class for maintenance. The subsystem displays on the Optional Equipment tab of the Data -> Equipment Management -> Planning -> Projects screen.
Apply changes to pending and active project templates
If this field has a check, the changes are applied to all pending and active equipment planning templates.
Update all to display on equipment primary
Check this box to update each line item in the table below to check the box in the Display on equipment primary column. See the option below for more details on that checkbox.
Update all to active
If this box is checked, after saving the record the application will update the Active check box to Y for all properties associated with this record.
The fields in the screen group specify values for each property of the subsystem.
Delete
To delete the entries in the fields to the right, place a check in this field and click Save.
Property
Attribute assigned to the subsystem. This field has a list box of properties supported by the subsystem. Maximum field length is 50 characters.
Properties are defined on the Data -> Equipment Units -> Setup -> Equipment Subsystems screen.
Display on equipment primary
If this field has a check, information from this screen displays on the Additional Data tabs of the Data -> Equipment Units -> Fleet Equipment and the Data -> Equipment Units -> Components -> Primary Information screens.
Active
If this field has a check, the subsystem property is active.
This field controls if the line item appears when searching for:
Sequence
Sequence display order. Enables you to control (and change) the order in which data displays on the Additional Data tab of certain screens, including Rail Equipment, Fleet Equipment, Stationary Equipment, Linear Assets, and Primary Information (Components). Maximum field length is five characters. Optional, but must be a positive number if entered. Defaults to 0.
Description
Description of the property that applies to the equipment unit or type specified in the Equipment type or Equipment ID fields. Because information in this field is optional, you can use it any way you like. For example, you can use it to record manufacturer’s specifications for the property. maximum field length is 100 characters.
If a project template applies to the subsystem, this description displays on the Standard and Optional Equipment tab of the Data -> Equipment Management -> Planning -> Templates screen.
Date value
Date (in MM/DD/YYYY format) associated with the subsystem. You can use it to track additional data that you may need. Must be blank if the Input type field on the Data -> Equipment Units -> Setup -> Equipment Subsystems screen has a value other than DATE. Otherwise, optional.
Numeric value
Numeric value associated with the subsystem. You can use it to track additional data that you may need. The maximum number of decimal places is four. This field is optional.
Text value
Text value associated with the property. You can use it to track additional data that you may need. Must be blank if the Input type field on the Data -> Equipment Units -> Setup -> Equipment Subsystems screen has a value other than TEXT. Otherwise, optional. Maximum field length is 255 characters. This field has a list box.
Part ID
Identifier of a part that is a subsystem. The ID is associated with the part suffix. This field has a list box. This field is optional.
If you enter a valid cross-reference entry for the part ID/suffix, it is automatically converted it to the appropriate part ID/suffix. If more than one valid part ID/suffix is associated with the cross-reference part ID, a list box of valid part ID/suffixes displays from which to choose.
If a project template applies to the subsystem, this part ID displays on the Standard and Optional Equipment tab of the Data -> Equipment Management -> Planning -> Templates screen.
Part suffix
Number associated with the part ID.
OEM part number
Manufacturer’s (or any other) number for the part. Optional.
Display on special fee details
If this field has a check, the information displays on the Equipment Details tab of the Data -> Equipment Activity -> Special Fees -> Special Fee - Detail screen.
Include property on equipment planning project templates
If this field has a check and the Equipment Planning module is installed, this property is a standard feature in the equipment catalog. The default is the value in the Include property on equipment planning project templates field.
Include property on equipment planning projects
If this field has a check and the Equipment Planning module is installed, the property is an approved optional feature in the equipment catalog. The default is the value in the Include property on equipment planning projects field.
Associated cost
Cost associated with a property on the template. Automatically brought over as part of the template when the template is created. Defaults onto the project when the property is chosen to be part of the project.
Path and file name
Navigation path and name of the electronic file (e.g., digital pictures, text documents, scanned forms) associated with the property. Maximum field length is 255 characters. This field has a file launch button .
