Note: Linear assets do not display on this screen. Use the Data -> Equipment Units -> Linear Assets -> Primary Information screen.
The Fleet Equipment screen enables you to display and define IDs for equipment units and the information that relates to them. Typically, equipment units are complete unto themselves (not components of other units) and have their own identification measures such as a serial number or meter. There must be an equipment ID for each equipment unit. The following information is tracked for each equipment unit:
Basic information
Meter information
Classes and locations, and motor pool information
Assignments, status, authorization, comments, and codes
Preventive maintenance (PM) programs, inspections, and warranty information
Ownership and credit card information
Acquisition, depreciation, and recurring costs
Replacement and disposition
To insert an equipment unit, information is required in certain fields. View the list of required fields. See also requirements for an equipment unit to be assigned to a motor pool and how to remove equipment units from a motor pool.
Note: This screen supports location level and department-level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.

Identifying information about equipment units, including their ID, description, and PM (preventive maintenance) program type
Meter information related to equipment units. If the optional Mobile Software module is installed, you can use hand-held devices to transfer meter reading information between the system and the hand-held device to work with the data from remote locations. Refer to the related documentation for this product
Assign equipment units to classes for various purposes and to SLA (service level agreement) equipment categories
Assign equipment units to storage, preventive maintenance, repair, station, and fuel locations
Department, account, tax code, operator, company, and associated equipment ID assignments
Allocation information related to equipment units.
Account and billing apportionment information for equipment units
Status information, including current location, shop status, equipment status, life-cycle status, and user status
Capital planning for equipment
Motor pool information, such as reservations and dates in and out (if the Motor Pool Module is installed)
Authorizations required for work orders, usage tickets, fuel tickets, off road use, and dielectric testing, as well as exclusions from reports and lists Also specifies the work order approval level for equipment units
Comments about equipment units
Class PM program information, including next service numbers, due dates, and PM overrides; use this tab if the unit has a CLASS PM program (refer to the Basic Info tab)
Individual PM program information, including dates, meter readings, overrides, and time units; use this tab if the unit has an INDIVIDUAL PM program type (refer to the Basic Info tab)
Periodic, statutory, and additional inspection data, including dates and work order IDs
Codes for equipment unit's fuel, oil, and tires, as well as billing and priority IDs
Recurring fixed monthly, insurance, replacement, licensing, and other costs
Credit card information, including company names, card numbers, and issue and expiration dates
Acquisition date, cost, value, and vendor information
License numbers and dates, issuing agencies, registration dates, road worthiness, and area restrictions
Equipment unit registration information (license number, registration expiration date, and permanent registration number) for any number of issuing governments
Ownership, depreciation, and leasing information
Warranty vendor, warranty expiration information, and deductible amount
Displays and records estimated replacement dates and cost, and actual replacement and disposal information
Notes about the equipment unit
Files (text or graphics) associated with the equipment unit
Last known geographical position of the equipment unit, as reported by a Global Positioning System (GPS) (the system’s integration with GPS is under development)
Information about the equipment unit’s subsystems and parts
Displays the component relationships to which the equipment unit belongs
Addresses associated with the equipment
Electric Vehicle information related to the equipment units.
