Work Calendar |
The Work Calendar tab for locations enables you to associate locations and location shifts with calendar IDs. Calendar IDs define work hours and holidays. This tab is used to calculate downtime.
The information on this tab and on the Data -> Setup -> Organization Structure -> Calendars screen are used to build and store a calendar of working hours for the location. If the location supports work orders (there is a check in the Work orders permitted field on the Work Orders - Options tab) or a motor pool (there is a check in the Pool (dispatch) field on the Functions tab), each year you must use the Generate tab of the Data -> Setup -> Organization Structure -> Calendars screen to compute the calendar of working hours for the location. The calendar of working hours must be computed each year for each location in order to compute user downtime on work orders or elapsed usage hours on usage tickets for equipment units assigned to a location.
The field in the top section of this tab defines the data that displays.
Location ID
Identifier of the location currently selected in the grid or that you are defining. This field has a list box. The location name displays to the right of the ID.
Data in the fields in the bottom section of this tab enable you to associate a calendar with the location. Unless otherwise indicated, these fields are required.
Calendar ID
Identifier of the calendar associated with the location. This calendar ID defines the location's weekly hours and holidays. (If the location runs multiple shifts, you must also associate each shift with a calendar ID in the Calendar ID field.) This field has a list box. The calendar description displays to the right of the ID.
Calendar IDs are defined on the Data -> Setup -> Organization Structure -> Calendars screen.
Appointment calendar ID
Calendar that specifies the hours of the day at which customers may drop off their vehicles for scheduled services (requires the Customer Access Portal in Web Modules). This field has a list box. The calendar description displays to the right of the ID. The Customer Access Portal calendar uses this information to determine the days available to the operator. This field is optional.
Calendar IDs are defined on the Data -> Setup -> Organization Structure -> Calendars screen.
Note: The Customer Access Portal is required to make full use of this field. If you would like to learn how the Customer Access Portal can help your organization, please contact your sales representative.
The screen group enables you to provide details about the calendar used in the Customer Access Portal.
Delete: To delete the entries in the fields to the right, which define a work shift for the location, place a check in this field and click Save.
Shift ID: Identifier of each work shift at the location. Any number of work shifts can be associated with the shift's calendar ID. Optional.
Calendar ID: Identifier of the calendar associated with the location's corresponding Shift field. This field has a list box. Calendar IDs are defined on the Data -> Setup -> Organization Structure -> Calendars screen.
Calendar description: Description of the calendar associated with the shift's corresponding calendar ID. The calendar's description displays to the right of the ID.
Maximum minutes before or after shift start time employees can enter shift start on labor capture without supervisor logon
Without the supervisor being logged on, the maximum number of minutes before or after the official shift start time that employees can specify that they started their shift. (Employees record the start time on the Data -> Shop Activity -> Employee Labor Capture screen.)
Default labor hours when no standard exists
Enter a numeric value in this field to set the number of labor hours when there is no standard set.
Message if posting more than ___ hours in one calendar day for one employee
The maximum number of hours that may be posted for an employee each calendar day. If the number of hours for an employee recorded on the Time Cards, Work Order Center, or Work Order – Short Form screen exceeds the number specified in this field, a warning message appears. This field is optional.
Physical location is ___ hours difference from physical location of application server
If the application server and the motor pool are physically located in different time zones, specify the number of hours by which they are separated (e.g., 2). When a vehicle is returned from a motor pool reservation, the information is used to calculate the hours and charges for the reservation. The default is zero (0); the acceptable range is -24 to 24. This field is optional.
Note: This parameter is currently used only on the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen.
Validate indirect postings against employee accrual time balances
Select the option in this list box to choose when to validate against employee accrual time balances. Accrual time balance can be checked on the Employee - Primary Information screen, Scheduling tab in the Accrual time balance table. Options are as follows:
NEVER: Never validation against the current balance for employee accrual time. This does not check or subtract this value from the employee's time balance.
WARNING: Whenever an employee posts indirect labor with a time code that has an accrual time type attached, the system checks the employee's current accrual time balance. If this posting will cause the balance to go below zero with the entered time amount, the system warns the user, but allows the user to continue or cancel the current action. If the user continues and saves the entry, the hours are posted and subtracted from the employee's accrual time balance for that time type.
VALIDATE: Whenever an employee posts indirect labor with a time code that has an accrual time type attached, the system checks the employee's current accrual time balance. If this post will cause the balance to go below zero with the entered time amount, the system will not let this time be entered, and cancel's the transaction.
