General Equipment Due for Service Information

The Equipment Due for Service/Inspection - by Equipment screen displays equipment units or linear assets that are due for a preventive maintenance (PM) service, inspection, scheduled repair task or standard job, or late for a previously scheduled service.

At the highest level, the records retrieved are based on the date information entered in the filter dialog box for Due on or before date and Number of days from today to project fields.

Grid results may be sorted by equipment ID. Other filter options include:

Calculation used to determine whether a unit might be due because of a meter update:

1. (Current meter - meter at last service)/number of days from last service to date of last meter update = Average number of miles traveled each day.

2. (Number of days from the last service to the date used on Equipment Due for Service/Inspection screens) * (average number of miles traveled each day) = Number of miles at which the next service is due

Calculation used to determine excessive fuel usage:

1. Determine the average daily fuel consumption rate for the equipment from the last service start date to the last date on which fuel was issued to the equipment.

2. Determine the projected fuel consumption by multiplying the average daily fuel consumption rate (from step 1) by the number of days remaining until equipment is due (specified in the Filter dialog box)

3. Add the projected fuel consumption to the amount of fuel used since the last service performed. If this value exceeds the set PM fuel quantity override, the unit is considered to be due for service based on the override.

The grid displays all equipment units that have:

Detail View Header

The data in the fields in the top section of this tab define the data that displays.

Equipment ID

Identifier of the equipment unit currently selected in the grid. The equipment unit year, manufacturer, and model display to the right of the ID. If you change the selection in the grid, the equipment ID in this field will change. This field has a zoom button to the Data -> Equipment Units -> Fleet Equipment screen. If authorized, you can change or delete an equipment unit’s service and inspection data on that screen.

Run ID

Randomly generated number that identifies the data currently being displayed. While this number displays on the screen, you can use the Query/Report Generator to access the data prepared for this screen by specifying the run ID as a restricting value.

Detail View

Data in the fields in the bottom section of the tab provide details about the PM and inspections due on the equipment unit selected in the grid. Unless otherwise indicated, all fields are display only.

Equipment class ID

Identifier of the equipment class to which the equipment unit is assigned for PM. The equipment class description displays to the right of the ID.

Shop location ID

Identifier of the shop location to which the equipment unit is assigned for PM. The shop location name displays to the right of the ID.

Work management classification location ID

Enter the location ID to set the work management classification to this location when generating work orders. This is overridden by the Location ID for generated work orders if that is set.

Department ID

Identifier of the department to which this equipment unit is assigned. The department name displays to the right of the ID.

Department to notify for PM

Identifier of the department to notify in order to arrange the PM service. The department name displays to the right of the ID.

Generate work orders for all units listed

When you process a check in this field, work orders are opened for the equipment units in the grid. The linear asset work orders that are opened will include any inspection point ranges for the due service, if available.

To perform this process, you must be assigned to a user group that has a check in the Automatically open PM orders field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen. To open work orders for all equipment units in the grid, proceed as follows:

Step 1.  Click the Edit.

Step 2.  Check the Open work orders for all units listed field.

Step 3.  Click the Save.

Refer to the list of actions performed when PM orders for all equipment units listed are automatically opened.

Location ID for generated work orders

ID of location to be assigned to generated work orders.

Status for generated work orders

Select an option to indicate the preferred status when generating new PM work orders. This field has a choice-list with the following options:

PM shift

Preferred PM shift designated for the equipment unit. The preferred PM shift is specified on the Locations tab of the Data -> Equipment Units -> Fleet Equipment screen.

Estimated hours

Estimated number of hours of labor required to complete the service or inspection. The estimate is based on the standard labor hours for the service in the PM class to which the equipment unit is assigned. Specified in the Labor hours field on the Standards tab of the Data -> Equipment Units -> Setup -> Equipment Class -> Class/Task Information screen.

PM service

PM service level (designated by the letters A to Z) or inspection type to be performed. The maximum field length is 12 characters.

Program type

PM program type (CLASS, INDIVIDUAL, or INSPECTION).

Reason due

Reason the equipment unit is due for service or inspection (date, meter, or fuel).

Repair task ID

Identifier of the repair task for the service.

Standard job ID

Identifier of the standard job for the service.

Work order is open

This field indicates if the equipment already has work order open.

Last performed

Last date (in MMDDYYYY format) on which a service or inspection was performed. The equipment unit's PM program type (specified on the Basic Info tab of the Data -> Equipment Units -> Fleet Equipment screen) determines from where the information is obtained.

Date due

Date that the next PM service or inspection is due. This date is computed once the work order is CLOSED. It can be calculated based on one of the following work order dates:

Days late

If the next service or inspection date is earlier than today, number of days that the unit is late for service or inspection.

Meter 1 and Meter 2

Meter 1 and 2 reading information:

At last service

Meter reading on the unit when the service or inspection was last performed.

Due at

Meter reading at which the service or inspection becomes due.

Current

Current meter reading on the unit.

Until due

Number of miles until the unit is due for servicing. If a negative number displays, the service is overdue.

Late

For units that are late for service or inspection (override already exceeded), number of units accumulated on the meter reading in excess of the applicable meter override.

Since last service

Number of miles the equipment unit has traveled since the last service date. Equal to the difference between the current meter reading and the meter reading at the last service, minus any rollovers.

Fuel

Due at

Amount of fuel the equipment unit can use since the date of the last service or inspection before the unit is considered due for service. This value is determined by the equipment unit's PM fuel quantity override, which is the amount of fuel the equipment unit has to consume before i is considered due for service or inspection, regardless of its scheduled due date (by time interval) or meter usage.

The equipment unit's PM program type (specified on the Basic Info tab of the Data -> Equipment Units -> Fleet Equipment screen) determines where the displayed information comes from.

Since last service

Amount of fuel the equipment unit used since the date of the last service.

Date and time of last yard check

Date and time (in MMDDYYYY HH:MM format) that an employee last downloaded yard check information from a hand-held device. This field updates automatically when you use the Data -> Data Capture -> Hand-held Devices screen to process data with an indirect time code ID of 15.

Unit available for repair or PM

If this field has a check, the unit was marked Available for repair at the date and time of the last yard check.

Unit currently out of service

If checked, this equipment unit is currently out of service.

Unit eligible for PM extension

If check, this equipment unit is available for a PM extension.
