Note: Linear assets do not display on this screen. Use the Data -> Equipment Units -> Linear Assets -> Primary Information screen.
The Motor Pool tab is available only if the optional Motor Pool module is installed. The tab enables you to display and define reservation information for equipment units.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can search on equipment ID, serial number, asset category ID, SLA equipment category, assigned repair location ID, and department ID, among other values. The list of searchable fields on the filter is extensive; use the scroll bar to view them all.
Note: Filtering data based on fuel/fluid type uses the information in the Supported fuel/fluid types screen group on the Codes tab.
The Fleet Equipment screen supports location level and department-level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.
Detail View Header
The field in the top section of this tab defines the data displayed in the bottom section.
Equipment ID
Identifier of the equipment unit currently selected in the grid or that you are defining. This field has a list box. The equipment unit year, manufacturer, and model display to the right of the ID.
When you insert an equipment unit with an asset category that supports automatic numbering and this field is blank, the system generates an equipment ID that follows the format specified in the Custom ID structure field on the Data -> Equipment Units -> Setup -> Asset Categories screen. If you specify an ID and the equipment’s asset category supports automatic numbering, the ID is not overwritten.
Whether an asset category supports automatic numbering is specified on the Data -> Equipment Units -> Setup -> Asset Categories screen.
Detail View
Data in the fields in the bottom section of this tab define the reservation information. All fields apply only to motor pool units and only if the optional Motor Pool module is installed. Unless otherwise indicated, these fields are required.
Motor pool dispatch status
Equipment unit’s status of dispatch from the motor pool. The Status field on the Status/Other Info tab on the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center determines what displays in this field.
IN: The equipment unit does not currently have a motor pool reservation with a status of DISPATCHED or LATE. It is at the motor pool dispatch location.
OUT: The equipment unit is assigned to a current reservation with a status of DISPATCHED or LATE and is not currently at the motor pool dispatch location.
Motor pool dispatch location ID
Valid motor pool dispatch location to which the unit is assigned. This field has a list box, which is based on the primary operator's allowed locations. The preferred location is listed first. The location name displays to the right of the field. A dispatch location is required if the equipment unit is assigned to a department ID that has a check in the Motor pool field on the Basic Info tab of the Data -> Setup -> Organization Structure -> Departments -> Primary Information screen.
This field also has a zoom button to the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen, on which location IDs are defined. The location must have a check in the Pool (dispatch) field on the Functions tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.
Dispatch locations for operators are defined on the Motor Pool tab of the Data -> Equipment Units -> Setup -> Operators -> Primary Information screen.
The number of units of each pool vehicle type that are available in the pool at each motor pool dispatch location is automatically determined.
Tip: If you use the Data -> Equipment Activity -> Motor Pool -> Motor Pool Center screen to process equipment that is returned to a location other than the dispatch location, the value in this field is automatically changed to the return location ID and the equipment availability information is adjusted at both locations.
Pool vehicle type
Equipment unit’s assigned pool vehicle type in the motor pool. This field has a list box and a zoom button to the Data -> Equipment Activity -> Motor Pool -> Setup -> Pool Vehicle Types screen. The vehicle type cannot be specified as an outside rental agency vehicle type on that screen's Basic Info tab. The pool vehicle description displays to the right of the type.
Note: The pool vehicle type may not be changed if the equipment unit has a dispatch status of OUT (i.e., is currently out on a reservation).
Pool vehicle types are defined on the Data -> Equipment Activity -> Motor Pool -> Setup -> Pool Vehicle Types screen. Pool vehicle types for operators are defined on the Motor Pool tab of the Data -> Equipment Units -> Setup -> Operators -> Primary Information screen.
Last reservation ID
Number of the last reservation under which the unit was dispatched. This field is display only.
Last date out
Last date that the reserved unit went out. This field is display only.
Meter 1
Meter reading when the reserved unit was dispatched. This field is display only.
Last date in
Last date that a reserved unit was returned. Display only.
Meter 1
Meter reading when the reserved unit was returned. This field is display only.
