Task Completion |
The Task Completion tab enables you to display and assign completion/work accomplished codes and employee IDs to work order tasks. An advantage of this tab, which is not available on other work order screens, is that you can view and update information related to PM (preventive maintenance) tasks and assign work accomplished codes to all tasks in one process.
PM task checklist items are listed in the sequence specified on the PM Tasks tab of the Data -> Equipment Units -> Setup -> Equipment Class -> Class/Task Information screen at the time the work order was opened. If there are multiple PMs on the work order, the services are listed in ascending order, followed by the tasks. The tasks are grouped together by service and then listed in sequential order.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on work order location ID/year/number, equipment ID, job status, job type, PM service, and employee ID, among other values. If you filter on PM service, PM and inspection services on repair orders and additional services on PM orders will also be retrieved.
The fields in the top section of this tab define the data that displays. All fields are display only.
Work order ID
Identifier of the work order currently selected in the grid. The work order ID is composed of three parts: location, year, and number. The location part of the field has a list box.
Equipment ID
Identifier of the equipment unit assigned to the work order currently selected in the grid. Display only. The unit’s year, manufacturer, model, meter readings, and description display in the field below the ID.
Tip: You can set a zoom button for this field to detect the type of equipment and display the appropriate screen. If you used Administrator Mode to add a zoom button, you will need to use it again to remove your user-defined zoom button for this functionality to work.
Current work delay ID
Identifier of the reason for the current work delay, if any, on the work order. The information displays from the Work delay ID field on the Delay tab of the Data -> Shop Activity -> Work Order Center screen. The work delay description displays to the right of the ID.
Job status
Job status of the work order. The options are:
OPEN: The work on the work order has not yet been completed.
WORK FINISHED: Shop personnel have completed the work and placed a check in the Date and time finished field on the Basic Info tab for this work order.
CLOSED: The work order is no longer open.
PENDING: Shop personnel are waiting for the equipment unit to arrive at the shop.
License number
License number of the equipment unit (if any). Display-only from the Registration tab of the Data –> Equipment Units -> Fleet Equipment screen.
Data in the fields in the bottom section of this tab display and assign completion/work accomplished codes and employee IDs to tasks on work orders. Unless otherwise indicated, these fields are required.
Set the completion code for each unassigned task to
Default completion/work accomplished code assigned to all tasks to which a code is not already assigned. This field has a list box. The completion code description displays to the right of the field.
Set the employee ID for each unassigned PM task to
Default employee ID assigned to all PM tasks to which an ID is not already assigned. This field has a list box. The employee name displays to the right of the field.
The following fields are presented in a screen group.
Delete
To delete the entries in the fields to the right, place a check in this field and click Save. You cannot delete tasks to which charges have been posted. You also cannot delete PM tasks, but you can delete the PM service, which automatically deletes all associated PM tasks.
Task ID
Identifier of the task that describes the work. Display only. Task IDs are defined on the Data -> Shop Activity -> Setup -> Tasks -> Primary Information screen.
Related PM service
PM service (designated by letters A to Z) or inspection type associated with the task ID. Information displays in this field only when the Task type field on the Basic Info tab of the Data -> Shop Activity -> Setup -> Tasks -> Primary Information screen specifies that the task ID is a PM TASK. Display only.
Task description
Description of the task ID. This field is display only. Task ID descriptions are specified on the Basic Info tab of the Data -> Shop Activity -> Setup -> Tasks -> Primary Information screen.
Completion/work accomplished code
Code associated with the task ID for the work accomplished. This code provides more detail about the work performed in relation to the task.
If a work accomplished code is specified on the Tasks tab of the Data -> Shop Activity -> Work Order Center screen, it displays in this field. To change it, you must use the Tasks tab.
If a work accomplished code is not specified on the Tasks tab of the Data -> Shop Activity -> Work Order Center screen, you can specify it on this screen when you post commercial charges to the task. The code also displays on the Tasks tab. See Work accomplished codes - processing.
Note to MSSQL Users: Depending on the value in the Require work accomplished code on work order tasks field on the Work Orders - Options tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen, a code may be required in this field (for all tasks) in order to process a check in the Date and time closed field on the Basic Info tab.
Fields on the Basic Info tab of the Data -> Shop Activity -> Setup -> Work Accomplished Codes screen determine the actions taken regarding this field when you process a check in the Date and time closed field on the Basic Info tab:
If the code has a check in the Deferred maintenance and Final status fields and there is a check in the Transfer all work order comments and notes to generated service requests or work orders field on the Work Orders – Options tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen, a service request is generated for the equipment unit (on the Data -> Equipment Activity -> Service Requests/Defects screen) and includes all comments from the Notes and Comments tabs. The comments are separated by carriage returns, and each note includes "ORIGINATED -- WORK ORDER ID: <loc>-<year>-<no>".
If the code has a check in the Final status field, the task is added to the Tasks tab of the Data -> Shop Activity -> Work Order Center screen.
If the Basic Info tab of the Data -> Shop Activity -> Setup -> Tasks -> Primary Information screen assigns the task ID to the task type PM TASK and associates a repair task ID with the PM task, a service request is generated for the task.
Work accomplished codes and their descriptions are defined on the Data -> Shop Activity -> Setup -> Work Accomplished Codes screen.
Completion/work accomplished code description
Description of the work accomplished. Auto-populates based on the completion/work accomplished code.
Repair reason ID
Identifier of the reason for the repair. This field has a list box. The repair reason ID specified in the Other field on the Repair Reasons tab of the Data -> Shop Activity -> Setup -> Options screen displays, but you can change it. The reason description displays to the right of the ID.
Repair codes are defined on the Data -> Shop Activity -> Setup -> Repair Reasons screen.
Employee ID
Identifier of the employee assigned to the task. This field has a list box.
If the Basic Info tab of the Data -> Shop Activity -> Tasks -> Primary Information screen assigns the task type of PM TASK to the task ID and the work order’s location ID (indicated by the first part of the work order ID) has a check in the Require employee ID for PM task checklist items field on the Work Orders - Options tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen, the employee ID must have a check in the Charges time field on the Scheduling tab of the Data -> Shop Activity -> Setup -> Employees -> Primary Information screen.
Note: When an employee places a check in the Done field on the Task Completion tab of the Employee Labor Capture screen, this field updates to display the name of the employee who marked the task as completed.
Employee IDs are assigned on the Personal Information tab of the Data -> Shop Activity -> Setup -> Employees -> Primary Information screen.
Employee name
Name of the employee assigned to the employee ID. auto-populates after the employee ID is specified. This field is display only.
Work class
Code that specifies a work class for the task. Required if there is a check in the Require work class on work orders field on the Work Orders - Options tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.
This field has a list box. To change this value after it is processed, or to assign a different value to specific tasks on the work order, you must be assigned to a user rights group that has a check in the appropriate Override work order work class field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen.
Work classes are defined on the Data -> Shop Activity -> Setup -> Work Classes screen.
Warranty work
Warranty status of tasks on the work order. When a task is added to the work order, the information in the Date and time in field on the Basic Info tab determines whether the component is still under warranty.This field has a list box.
YES: The
work order is for warranty work. If there is a in the Automatically
create equipment warranty claims when closing work order including
warranty work field on the Work
Orders - More Info tab of the Data
-> Setup -> Organization Structure -> Locations ->
Primary Information
screen, when you close the work order, a warranty claim with a status
of PENDING is created. If you charge labor to more than one task which
was warranty work, you must designate such tasks by placing a check
in the Equip warranty work
field. All tasks so marked are included on the warranty claim (or
claims).
You cannot specify YES for an equipment unit or component that is not
under warranty unless the work order’s location ID (indicated by the
first part of the work order ID) has a check in the Allow
warranty set to YES when warranty is not in effect field on
the Work Orders – More Info tab
of the Data -> Setup -> Organization
Structure -> Locations -> Primary
Information screen.
NO: This value displays automatically as the default:
For PM orders automatically opened from the Data -> Equipment Management -> Equipment Due for PM/Inspection- by Equipment or Equipment Due for PM/Inspection- by Location screen.
When processing a meter reading that exceeds the Current expiration meter limit on the Component Warranties tab of the Data -> Equipment Units -> Additional Data screen.
UNKNOWN: The equipment unit is still in its warranty period (based on time and meter reading). When the work order was inserted, it could not be determined whether this task was covered by a warranty. You can update this field at any time before you close the work order. You cannot close a work order with this value. See the Date and time closed field on the Basic Info tab.
To change the warranty work status after it is processed, or to assign a different value to specific tasks on the work order, you must be assigned to a user rights group that has a check in the appropriate Override work order warranty status field on the Special Rights tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen. To change the value for specific tasks, see the Equip warranty work field.
If a warranty is in effect, the default is the location's value (determined by the first part of the work order ID) in the Default setting for warranty when warranty is in effect field on the Work Orders - More Info tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.
Equip warranty work
If this field has a check, the task is work covered by the equipment unit’s warranty.
If there is a check in the Automatically create equipment warranty claims when closing work order including warranty work field on the Work Orders - More Info tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen, when you close a work order with a value of YES in the Warranty work field or on the Basic Info tab, a warranty claim with a status of PENDING is created.
If the Warranty work field on the Basic Info tab specifies YES and you charge labor to more than one task on the work order, you must place a check in this field for each task on which warranty work was performed. All tasks so marked are included on the warranty claim (or claims).
Update PM schedule
Indicates whether the equipment unit's PM schedule will be updated when you close a work order. If you specify YES and there were postings to the task for a class or individual equipment unit, the PM information on the Class PM tab of the Data -> Equipment Units -> Fleet Equipment screen updates automatically when you close the work order.
Tip: This field is set to YES automatically if the completed work order has a PM or inspection task for which the labor hours, commercial labor hours, or the total costs are greater than zero.
Date and time completed
The date and time the task was completed.
Comments
Comments and notes about a task. Optional, free-form area. The maximum field length is 120 characters.
If the completion/work accomplished code has a check in the Deferred maintenance field on the Basic Info tab of the Data -> Shop Activity -> Setup -> Work Accomplished Codes screen, when you process a check in the Date and time closed field on the Basic Info tab, the comments are added to the Comments tab on Data -> Equipment Activity -> Service Requests/Defects screen. The first 60 characters in the comment display in the Description field.
If more than one mechanic posted time to the same task on the same work order, you can use the Task completion percentage screen group to specify the percentage of work that each mechanic performed for that task.
Note: The Require task percentages upon closing of work order field on the Work Orders - Options tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen specifies whether verification of task completion percentages is never required, required on work orders with the status WORK FINISHED, or when the work order is closed.

Identifier of the task. This field has a list box. Task IDs are defined on the Data -> Shop Activity -> Setup -> Tasks -> Primary Information screen.
Work accomplished code
Code associated with the task ID for the work accomplished. It provides more detail about the work performed in relation to the task. This field has a list box.
Work accomplished codes and their descriptions are defined on the Data -> Shop Activity -> Setup -> Work Accomplished Codes screen.
Employee ID
Identifier of the employee assigned to the task. This field has a list box.
Employee name
Name of the employee assigned to the employee ID. This field auto-populates when you select an employee ID. This field is display only.
Percentage
Percentage of the task completed by the employee. Required if there is a check in the Require task percentages upon closing of work order field on the Work Orders - Options tab on the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.
If task percentage completed is tracked, the total must equal 100 when the work order is closed. If only one employee posted time to the task, the percentage for that task is set to 100 when the work order is closed.
